Event + Store Coordinator

DESCRIPTION

The Event and Store Coordinator will be an important role to provide proactive planning, communication, and execution for the various events hosted by or participated in by Indiana Bible College. This role will provide cross-departmental support and communication for events that are owned by other departments and will be the point person to oversee planning, communication, and execution of marketing related events, external conferences and camps, and on-campus tours. Additionally, this role coordinates both the in-person and online storefronts.

DUTIES AND RESPONSIBILITIES


Internal Event Coordination
  • Provide support and communication cross-departmentally in events owned by other departments
  • Support event owners in the execution of major on-site events like Preview Weekend, Music Fest, LIVE and others
  • Coordinate and organize student volunteer teams to efficiently run events
  • Schedule and host on-campus tours

External Event Coordination
  • Work under the direction of marketing leadership to executive logistics of off-site events such as NAYC, General Conference, HYCs, Summer Camps, and others
  • Coordinate all relevant stakeholders coming together for input into event success
  • Coordinate and organize student volunteer teams to efficiently run events
  • Work with the marketing team to maintain supplies for external tours (promo items, print pieces, etc.)

In-Person and Online Store
  • Oversee in-person storefront setup and logistics at relevant events
  • Maintain organization of physical store inventory (shirts, banners, merch)
  • Work with the marketing team to fulfill orders and support customers using the online store

Administration and Communication
  • Maintain the events calendar
  • Maintain process documents to aid in running major events (internal and external)

QUALIFICATIONS

  • Bachelor’s degree preferred.
  • Proven experience as an assistant or in a similar administrative role.
  • Exceptional organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Google Suite and other relevant software.
  • Shopify or eCommerce experience preferred.
  • Ability to handle confidential information with discretion.
  • Strong interpersonal skills and the ability to work effectively in a team.
  • Flexibility and adaptability to changing priorities and deadlines.
  • High degree of professionalism and a positive attitude
